Mastering Workload Management: 5 ways to manage your time for peak productivity

Did you know that the average human attention span is only 8.25 seconds (2023, par. 2)? With numerous tasks vying for our attention, we must employ effective strategies to stay focused and on track.  

In today's fast-paced world, maintaining productivity can be challenging, despite it being necessary to reduce cortisol levels and increase our psychological wellbeing. Below are five proven techniques for managing your workload efficiently and the advantages of each method.  

  1. The Pomodoro Technique: This popular time management method involves breaking your workday into short, focused intervals (typically 25 minutes), separated by short breaks. During each 'Pomodoro' session, you work on a single task with complete concentration, then take a brief break before starting the next session.  
  • The benefit: This strategy increases focus, productivity, and time awareness while allowing for necessary breaks and flexibility.  
  1. The Eisenhower Matrix: This time management method categorizes tasks into four quadrants based on urgency and importance.  
  • Quadrant 1: Urgent and Important 
  • Quadrant 2: Important but Not Urgent 
  • Quadrant 3: Urgent but Not Important 
  • Quadrant 4: Not Urgent and Not Important  
  • The benefit: Visually categorizing tasks into quadrants helps people distinguish between those that require urgent attention and those that may wait or be assigned to others. This allows you to focus on what is genuinely important while avoiding spending time on less critical tasks. 
  1. Time Blocking: Time blocking is scheduling specific periods during the day for certain tasks. Setting specific times for meetings, significant activities, and breaks lets you plan your day and ensure that the most important things get done first.   
  • The benefit: Because this method encourages continuous, focused work, it's pretty helpful if you struggle to reduce distractions. 
  1. Artificial Deadlines: Setting artificial deadlines can help create a sense of urgency and motivation to complete tasks promptly. By establishing self-imposed deadlines ahead of actual due dates, you can avoid procrastination and maintain momentum toward your goals. Be sure to set realistic deadlines that allow for adequate time to complete tasks without unnecessary pressure. 
  • The benefit: This tactic increases our output by prompting us to prioritize tasks and making us feel accomplished. 
  1. Sunlight Exposure: Natural sunlight has been shown to have numerous benefits for overall health and wellbeing, including improved mood, concentration, and productivity. Incorporating regular breaks outdoors or near windows with natural light can help boost energy levels, reduce eye strain, and enhance cognitive function.  
  • The benefit: Because sunshine boosts our mood and energy levels, assists us in controlling our circadian rhythms, and sharpens our cognitive capacities, it helps us be more efficient with our time. To help you work more productively, spend as much time outside during breaks or bring natural light into your workspace.  

Whether you prefer the regulated approach of the Pomodoro Technique or the prioritizing structure of the Eisenhower Matrix, the best workload management tactic is the one that serves your success. Experiment with various approaches to improve your productivity and be willing to adjust your strategy as needed.
